Use the accounting tool's own AI for the sorting, and a general assistant for the writing. Between bookkeeping days the damage is small and boring. Receipts pile up unmatched. The bank feed fills with lines nobody categorized. By Friday you have forgotten what a charge was for. A weekly quarter of an hour spent on exports and one careful pass of review turns the monthly session into review work.
Why the books go untidy between sessions
A bookkeeper's monthly session is where professional judgment gets applied. What that hour is worth depends on what you hand over. Hand over a shoebox of screenshots and a bank feed full of unclassified lines, and every minute goes on asking you what a charge was. Hand over a categorized feed with notes attached, and the session goes to the few things that genuinely need a professional eye. See what clean books look like in a monthly rhythm.
The forgetting is the cheapest part to fix. Sorting takes a rule you have to write once. Photographs take a phone and a place to put them. None of this needs new software. It needs the AI pointed at the right pile.
Feed it exports, never your bank login
Export first. QuickBooks says you can upload a list of transactions as a CSV file, and that its own tools extract the information from a statement you hand it. The safe path is the same for every tool. Sign in to your own bank website and download the statement, then save the file. Then decide which assistant gets to see that file.
A general assistant needs the charge. Your bookkeeper's ledger needs the date and the vendor behind it. Card numbers and logins belong to neither of them, so you never send them anywhere.

The assistant sees exports and receipts, never a login
That split is the whole privacy policy for this workflow.
What the accounting tool's own AI already does
Intuit describes Intuit Intelligence, the AI built into QuickBooks, as a tool that categorizes and posts transactions continuously. Intuit's pricing page lists that categorization and accuracy-check capability for the Plus and Advanced plans, and Intuit's product page lists the monthly quality reviews as available only with QuickBooks Advanced. Prices were checked in October 2026: the entry plan is $38 a month and the top plan is $340.
Xero's assistant is called JAX. Xero says the JAX chat is available to all subscribers at no extra charge for now, while JAX bank reconciliation needs the Growing plan or above. JAX reconciles automatically only when it is highly confident, and in all cases you can challenge or reject its matches. It can lean on a bank rule you wrote, and it can also use how you reconciled similar lines in the past.
Both tools do the same job, turning a raw feed into posted entries with a category attached. Xero's JAX automates the sorting inside Xero, while a general assistant automates the writing around it.

The accounting tool sorts the feed, and the general assistant handles the photos and the prose
The plan gates matter. A reader who buys the cheapest QuickBooks plan for its auto-categorization gets no continuous categorization, and a reader on Xero's cheapest plan gets no automatic reconciliation. Our QuickBooks and Xero comparison covers the price ladder.
What a general assistant adds
Three jobs sit outside the accounting tool.
The first is the receipt pile. Photograph a batch of receipts and ask for one line per receipt carrying the date and the amount, plus the category you want. You get a dated list to check against the shoebox. OpenAI caps images at 20 MB each and puts a spreadsheet cap near 50 MB, which is far more than a receipt photo needs.
The second is drafting your categorization rules. Describe your trade in plain words and paste the chart of accounts. Then ask for rules covering the charges you see every month, such as the software subscriptions and the fuel. You edit the draft, then enter the survivors as bank rules inside the accounting tool.
The third is the memo. Ask for a short note to your bookkeeper explaining the odd lines: the landlord payment that covers two months, or the card charge that belongs to the side project.
Paste the chart of accounts, then paste one batch of transactions. Ask for a category drawn from that list alone. Ask it to flag every line it is unsure about. Tell it to leave vendor names exactly as they appear. The same discipline as summarizing a contract: the machine drafts, you check each item against its source.
A weekly fifteen minutes
Pick a slot and put it in the calendar. Keep it under a quarter of an hour.
- Export the statement for the week as a CSV file.
- Photograph the receipts you collected into one folder.
- Run the categorization pass, then read the flags it raises.
- Enter the surviving rules into the accounting tool.
- Write the memo for anything a professional should see.
Exhibit 3
Fifteen minutes a week keeps the monthly session out of archaeology
One clean pass a week leaves nothing to reconstruct at month end. Most of the everyday tasks AI can take over are small and repeated ones. A pass you run once a quarter leaves a season of charges to reconstruct.
What to check before anything reaches the ledger
QuickBooks warns that with auto-post on, you get no chance to review transactions before they land in your books. Xero says JAX acts alone only when highly confident, and you can reject what it did.
Check four things by hand.
Start with vendor names. An assistant that cannot read a smeared receipt will invent a plausible one, and "Coffee Shop LLC" enters your books as a vendor that never existed. Split lines need a second look, because a single charge covering two categories is exactly the shape models flatten. Personal charges on the business card surface here, and they surface far more cheaply this week than at year end. Amounts and dates need to match the source document, since an assistant transcribing a photo has every incentive to guess a digit.
The record the IRS asks for
IRS Publication 463, in its 2025 edition, says documentary evidence is not needed where your expense, other than lodging, is less than $75. Lodging always needs it. Under $75 means a receipt is not required; it does not mean no record at all. The same publication says documentary evidence is ordinarily adequate if it shows the amount, date, place and essential character of the expense, so keep a short purpose note on every line. The weekly memo produces exactly that note.
On retention, the IRS baseline is three years, with six years where you left out more than 25 percent of gross income, four years for employment tax records, and indefinitely if you did not file or filed a fraudulent return. Publication 583 says all requirements that apply to hard copy books and records also apply to electronic storage systems, and that the system must index, store, preserve, retrieve and reproduce the records in legible format, as a complete and accurate record accessible to the IRS. A dated folder of PDFs is the start of such an index, while a camera roll is not.
Keep the data on your side of the line
OpenAI says data sharing for training is enabled by default on its personal ChatGPT workspaces, the free and paid tiers. You can switch it off under Settings, Data Controls. Business data from ChatGPT Business is not used for training by default. Anthropic says it may use inputs and outputs from consumer Claude to train its models unless you opt out. Inputs and outputs from Claude for Work are not used by default. Its commercial-products article is dated August 18, 2026.
Google's Gemini Apps Privacy Hub says a subset of chats are reviewed by human reviewers. Reviewed chats can be retained for up to three years. Chats held with Keep Activity off are retained for 72 hours.
